Introduction

Western Building Supply LLC (“Western,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains what information we collect, how we use it, how we share it, how we protect it, and your rights regarding that information.

This policy applies to all interactions with our website at builtwestern.com (“the Site”) and any related services, including delivery tracking, quote requests, contractor applications, and our Find a Builder program.

Information We Collect

We collect the following types of information:

Information You Provide Directly

When you submit a quote request, contact form, or contractor application, we collect the information you provide, which may include your name, email address, phone number, company name, mailing address, project type, project details, building dimensions, and any additional information you choose to include. We do not collect Social Security numbers, financial account numbers, credit card numbers, driver’s license numbers, or other government-issued identification numbers through our website.

Information From Our Ads, Booking Tools and Team

When you answer one of our ads on Facebook or Instagram, book a time with us through Calendly, or fill in a form on our website, what you send us (such as your name, phone number, email address, town, and what you want to build) goes into our customer system, Atlas. As we work with you, we also keep details about your project: the building we design with you, its size and features, its site address, what it is for, when you hope to start, your budget range, and notes our team makes about your project.

Delivery Tracking Information

When you use our Where’s My Order tracking feature, we collect your order number and associate it with delivery data including GPS coordinates, route information, estimated arrival times, and delivery status. This information is provided by third-party fleet management systems and is used solely to provide you with delivery status updates.

Analytics and Usage Data

We use Google Analytics (GA4) to collect anonymized usage data about how visitors interact with our website. This includes pages visited, time on site, referral sources, browser type, device information, screen resolution, and general geographic region. This data is collected using cookies and does not personally identify you. Google Analytics data is governed by Google’s Privacy Policy.

Error Monitoring and Session Recording

We use Sentry to monitor website errors and diagnose technical issues. Sentry collects technical information about your browser, device, operating system, and the actions that led to an error. Sentry’s session replay feature may record anonymized representations of page interactions — including mouse movements, clicks, and page navigation — to help us identify and fix website problems. Personal identifying information (such as form inputs) is excluded from session recordings. Session replay is sampled and does not record every visit.

Cookies and Tracking Technologies

Our website uses cookies and similar technologies for analytics, site functionality, and marketing. Cookies are small text files stored on your device that help us understand how visitors use our Site. We use first-party cookies for site functionality and third-party cookies from our analytics and marketing partners. You can control or disable cookies through your browser settings, though doing so may affect certain Site features.

Marketing Pixels

We may use marketing pixels (such as the Meta/Facebook Pixel) to measure the effectiveness of our advertising, understand how visitors interact with our Site after viewing an ad, and build audiences for future marketing. These pixels may collect information about your browsing activity on our Site and associate it with your profile on third-party advertising platforms. You can opt out of interest-based advertising through your browser settings, the Digital Advertising Alliance’s opt-out tool (optout.aboutads.info (opens in a new tab)), or through the settings of the applicable advertising platform.

How We Use Your Information

We use collected information to:

• Respond to your quote requests and inquiries
• Prepare estimates and process orders
• Process contractor network applications
• Help you find an independent builder, if you ask us to (see Builder Referrals below)
• Provide delivery tracking and status updates
• Send delivery status updates via SMS (with your consent)
• Improve our website, products, and services
• Monitor website performance, diagnose errors, and fix technical issues
• Analyze website traffic and usage patterns
• Measure the effectiveness of our marketing efforts
• Comply with legal obligations
• Protect against fraud, abuse, and unauthorized access

Information We Do Not Collect or Sell

We do not collect Social Security numbers, financial account numbers, credit or debit card numbers, driver’s license numbers, passport numbers, biometric data, or medical information through our website.

We do not sell, rent, or trade your personal information to third parties for their marketing purposes. We do not share your personal information with third parties for purposes unrelated to operating our business and providing our services, except as you direct, such as when you ask us to help you find a builder (see Builder Referrals below).

Builder Referrals (Find a Builder)

If you would like help finding someone to build your project, our team can post it to independent builders in our contractor network near you. It is optional and there is no fee. The builder you pick buys the materials for your project from us; every builder in the program agrees to that.

Nothing goes out until you say OK. We email you a link to a page about your project. Builders see nothing until you say OK on that page. If you close the page, nothing is shared.

What builders near you see once you say OK. Your building design (its size, features and drawing), what it is for, the work you need done, your town, an area about 3 miles across around the site (not the exact spot), when you hope to start, your budget range, and any notes our team adds about the project. Not your name, phone number, email address or street address.

What a builder who bids gets. Each builder who bids on your project (up to the number your page shows, usually 3) gets your name, phone number, email address and job-site address, and may call, text or email you about building it. When you say OK, we keep the exact words you agreed to, the name you typed, the time, your IP address and your browser, as the record of your OK. This is separate from our own text messages: your consent to texts from Western is never shared with builders.

Builders are independent businesses, not Western, with their own privacy practices. We do not guarantee their work. Builders pay us nothing for your information.

What every builder agrees to. Before a builder can bid, it accepts our rules: use your details and our drawing only to price and build your project; share them only with its own crew and subcontractors on your project; dial by hand (no autodialers, mass texting, or recorded or AI voices without your own written OK); call or text only between 8 a.m. and 9 p.m. your time; and when you ask it to stop, or we tell it you did or the job closed, stop contacting you and set your details aside within 10 days. When you pick another builder, the others may not contact you about the project unless you contact them first.

Your choices.

• Stop all builder contact. Every email about your builder search links to your page, which has a “Stop all builder contact” button. Builders who have your details are told to stop contacting you and to set your details aside, and nobody new can bid. It does not cancel anything you have with us.
• Reply STOP to any of these emails, or call your rep, and we will do the same for you.
• Pick a builder. Tell your rep, or use the link in your emails, and the other builders are told.

The emails. We send you the link, and check-in emails about 7 and 14 days after your project goes out, from your rep’s own mailbox. If you put your project back up, the check-ins start over.

What we keep. Which builders bid, which got your details, which you picked, the material quote or order for the project, and the records of your OK and any stop request (see Data Retention below).

Prices a Builder Sends You

Builders who use our system can send you their price on a web page we host for them. The page shows the builder’s own name and details. If you accept the price on that page, we record the name you type, your signature, the time, your IP address and your browser, and keep them for the builder. The price and your acceptance are between you and the builder. Our staff do not see the builder’s price. We are told that you picked that builder.

Third-Party Service Providers

We share information with the following third-party service providers solely as necessary to operate our website and business:

Google Analytics (GA4) — Website analytics and traffic analysis. Data is anonymized and aggregated. Governed by Google’s Privacy Policy.

Vercel — Website hosting and deployment. Processes server requests and may log IP addresses for security and performance purposes.

Supabase — Database storage for form submissions and delivery tracking data. Data is stored on cloud servers and protected by encryption at rest and in transit.

Sentry — Error monitoring, diagnostics, and session replay for technical troubleshooting. Personal identifying information is excluded from captured data.

Twilio — SMS delivery notifications (opt-in only). Receives phone numbers and message content for delivery status updates.

Aircall — business phone calls and text messages with our sales and dispatch team.

Atlas — Our customer and order system. Holds quote requests, Facebook/Instagram lead form answers, Calendly bookings, project details, and Find a Builder records.

Google Workspace — Business email, including the emails our team sends you.

Calendly — Scheduling consultation calls you book with us.

Google Maps and MapTiler — Address lookup and map display in our customer system.

Mapbox — Map rendering and route display for delivery tracking. May receive general location data to render maps.

Samsara — Fleet management and GPS tracking for delivery vehicles. Provides vehicle location data used in our tracking feature.

Each of these services has its own privacy policy governing how they handle data. We recommend reviewing their policies if you have specific concerns. We require our service providers to use your information only for the purposes of providing services to us and to protect your information consistent with this policy.

SMS Communications

If you provide a phone number in connection with an order, you may receive automated SMS messages with delivery status updates (e.g., truck departed, approaching jobsite, delivered). By providing your phone number for delivery tracking, you expressly consent to receiving these messages.

If you check the text message consent box on our website or our Facebook/Instagram lead forms, Western Building Supply may text you about your quote, consultation calls, orders and deliveries. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out or HELP for help. Consent to receive texts is not a condition of purchase.

We do not share, sell or rent mobile opt-in data (including phone numbers collected for text messaging) to third parties or affiliates for their own marketing or promotional purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors that support our services, such as customer service, is permitted. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Data Retention

We retain personal information only as long as necessary to fulfill the purposes described in this policy or as required by law:

• Quote and contact form submissions: Retained for as long as needed to serve your inquiry and maintain our business relationship, then deleted or anonymized.
• GPS delivery tracking data: Redacted after 7 days. Delivery confirmation status (without GPS coordinates) is retained for 30 days, then cleaned from our database.
• Analytics data: Retained by Google Analytics per their standard retention settings (14 months by default). We do not maintain separate copies of analytics data.
• Error monitoring data: Retained by Sentry per their standard retention settings (typically 90 days).
• SMS records: Retained by Twilio per their standard retention settings.
• Find a Builder records: The records of your OK, any stop request, and which builders bid, got your details, or were picked are kept for 5 years. Your Find a Builder page link works while your project is open and for 90 days after it closes.

You may request deletion of your personal information at any time by contacting us at the address below.

Data Security

We implement reasonable technical and organizational measures to protect your personal information, including:

• Encrypted connections (HTTPS/TLS) for all website traffic
• Secure, access-controlled database storage
• Rate-limited form submissions to prevent abuse
• Honeypot spam protection on forms
• Regular monitoring for unauthorized access

However, no method of transmission over the internet or method of electronic storage is 100% secure. We cannot guarantee absolute security of your information. In the event of a security incident, we will take appropriate steps to investigate and remediate the issue.

Data Breach Notification

In the event of a breach of the security of our data systems that materially compromises the security, confidentiality, or integrity of your personal identifying information, we will notify affected individuals in accordance with applicable law, including the Wyoming Data Breach Notification Act (Wyo. Stat. Ann. § 40-12-501 et seq.). Notification will be made in the most expedient time possible and without unreasonable delay, consistent with the legitimate needs of law enforcement and any measures necessary to determine the scope of the breach and restore the integrity of our systems.

Data Transfers

Your information may be processed and stored on servers located outside the State of Wyoming, including cloud infrastructure operated by our third-party service providers (Vercel, Supabase, Sentry, and others). By using our Site, you consent to the transfer and processing of your information in accordance with this policy.

Do Not Track Signals

Some web browsers transmit “Do Not Track” (DNT) signals to websites. There is currently no universally accepted standard for how websites should respond to DNT signals. At this time, our Site does not respond to DNT signals. However, you can control tracking through your browser cookie settings and through the opt-out mechanisms described in the Marketing Pixels section above.

Your Rights

You have the right to:

• Access: Request a copy of the personal information we hold about you.
• Correction: Request correction of inaccurate or incomplete personal information.
• Deletion: Request deletion of your personal information. We will comply unless we are required to retain it by law or for a legitimate business purpose. How to request deletion
• SMS opt-out: Opt out of SMS communications at any time by replying STOP.
• Builder contact: Stop builder contact at any time, as described in Builder Referrals.
• Cookie control: Disable or manage cookies through your browser settings.
• Marketing opt-out: Opt out of interest-based advertising through the mechanisms described in the Marketing Pixels section.

To exercise any of these rights, contact us using the information below. We will respond to your request within a reasonable timeframe, and no later than 45 days after receipt.

We will not discriminate against you for exercising any of your privacy rights. Exercising your rights will not affect the quality of products or services you receive from Western.

Children’s Privacy

Our website is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information promptly. If you believe a child has provided us with personal information, please contact us immediately.

Links to Other Websites

Our Site may contain links to third-party websites, including manufacturer sites, partner resources, and external tools. This Privacy Policy applies only to builtwestern.com. We are not responsible for the privacy practices of other websites. We encourage you to review the privacy policies of any third-party sites you visit.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or for other operational reasons. Changes will be posted on this page with an updated “Last updated” date. Your continued use of our website after changes are posted constitutes your acceptance of the updated policy.
